This is the number-one criterion. If your teams work in Teams, SharePoint and Outlook, Power Platform integrates without friction. No need to convince IT to open access to an external tool - everything is already there.
Your needs are internal
Power Apps shines on internal-use applications: inventory management, supplier order tracking, HR reporting, onboarding forms, approval tools. As soon as the users are employees already licensed for Microsoft, the per-head cost is marginal.
You want to move fast
A well-scoped Power Platform project can produce a first usable version in a few weeks. That's on a different scale from custom development, and even from many alternative low-code tools that require a longer learning curve.
You have processes to automate

Basic UX
Power Apps was designed for internal apps where UX isn't the main criterion. If you want pixel-perfect design, animations or a customer-facing interface, tools like WeWeb offer creative freedom that's in another league.
Premium licences
As soon as you move beyond SharePoint/Excel towards Dataverse, premium connectors or Power Pages open to external users, each user needs an additional licence. Across a large user base, the bill becomes substantial.
Scalability and governance
For applications with millions of records or complex backend logic, Xano and more open architectures will be a better fit. Without clear governance, the platform can also quickly become unmanageable.

Is Power Platform included in Microsoft 365?
Partly. Basic Power Apps and Power Automate capabilities are included in certain Microsoft 365 licences. But as soon as you use Dataverse, premium connectors or Power Pages with external users, specific licences are required. The Microsoft licensing model can get complex - scoping it upfront with proper guidance avoids unpleasant surprises.
What is the difference between Power Automate and a tool like n8n or Zapier?
Power Automate integrates natively and deeply into the Microsoft ecosystem (Teams, SharePoint, Dataverse, Dynamics). On these Microsoft connectors, it's unbeatable. n8n or Zapier offer more cross-platform flexibility and are a better fit for more heterogeneous technical stacks.
Can Power Apps replace an ERP or a CRM?
No. Power Apps is a tool for building targeted business applications that complement your systems of record. It connects to your ERP or CRM to display or edit data, but it doesn't replace them.
Do you need to be a developer to use Power Platform?
For simple cases - forms, basic automations, dashboards - no. Trained business users can build and maintain useful solutions. For more complex applications (advanced logic, multiple integrations, performance at scale), bringing in an experienced developer or integrator is recommended.
Power Platform or WeWeb + Xano: how to choose?
If your data and your users are in the Microsoft ecosystem, Power Platform is often the natural answer. If you need advanced design, significant scalability, external users at scale or complex backend logic, WeWeb and Xano will be a better fit. Both stacks are complementary - we regularly deploy them in parallel for our clients.
How long does it take to deploy a first Power Apps application?
For a simple internal application (request tracking, reporting form, approval workflow), expect two to four weeks end to end - from design to deployment. The timeline increases with the complexity of integrations and the volume of data.
