Integrations and business logic

  • Power Apps: works perfectly within the Microsoft ecosystem. Immediate connection to SharePoint, Excel, Power Automate, Power BI. Internally, there’s no friction, everything is already in place.
  • Xano: offers far broader freedom. You define your own data models, expose custom APIs, manage millions of records and complex roles.

What is the Dataverse?

The Dataverse is the centralized database used by Power Apps (and other Microsoft services). It lets you store your data in a secure environment integrated with the Microsoft ecosystem (Power BI, Dynamics, Automate).

Good to know:

  • Accessing the Dataverse often requires premium Power Apps licenses.
  • Simple applications relying on SharePoint or Excel can stay on a standard license, but as soon as you want to take advantage of the Dataverse (complex relationships, large volumes), the cost increases.
  • It’s a point of attention in your ROI calculations.

Cost and business model

Power Apps:

  • Included in certain Microsoft 365 licenses, perfect for internal apps based on SharePoint or Excel.
  • The Dataverse and access to premium connectors require additional paid licenses, and every user who accesses the application must have one.
  • For a large number of external users, the bill can become very high.

WeWeb + Xano:

  • Works on monthly subscriptions (different tiers depending on features and resources).
  • No per-user license → you can serve 10 or 100,000 users without multiplying the bill.

Onboarding and IT governance

  • Power Apps: in a large group already on Microsoft 365, you have everything at hand. Business units can prototype within a few days, without going through a lengthy architectural validation process.
  • WeWeb + Xano: often requires convincing the architects, obtaining security approval and sometimes dedicated hosting. This takes more time before actual development can begin.

You also have to do some evangelizing work, because these tools are still little known to architects and traditional IT teams, who may be reluctant to approve their adoption.

Scalability and growth

  • Power Apps: perfect for internal tools, a few hundred users, simple business logic. But the limits come quickly: performance, limited APIs, expensive licenses.

Vendor relationship: giant vs emerging players

A point that is often underestimated when choosing a technology is the relationship with the vendor.

  • Microsoft is an unavoidable leader. That’s reassuring, because Power Apps is solidly anchored in the Microsoft ecosystem and won’t disappear tomorrow. But it also means that your room for maneuver is limited. Pricing negotiations are standardized and your specific requests will have little chance of influencing the product roadmap.
  • WeWeb and Xano, younger and growing fast, have a very different positioning. They are open to discussion with large groups:

  • Your needs are internal, you’re already on Microsoft 365, and your business units need to create apps quickly without depending on IT → Power Apps is the best choice.
    • In this citizen dev approach, it’s crucial to put strong governance in place: defining roles, securing data access, managing the lifecycle and avoiding the proliferation of unmaintained applications.
  • You’re building a product or a customer portal, you want pixel perfect, scalability, you don’t want to pay per user and you want to be able to export the code to integrate it into your CI/CD pipelines → WeWeb + Xano is our recommendation.
  • A combination of both: some companies use both solutions in parallel:
    • Power Apps for applications whose data resides in the Microsoft ecosystem (SharePoint, Dataverse, Excel…),
